How Kubo Platform Limited collects, uses, shares and retains personal data across this website and the onboarding forms linked from it.

Who we are

Kubo Platform Limited (“KUBO”, “we”, “us”) is a company incorporated in England and Wales with company number 16920744, whose registered office is at 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ. For the purposes of UK data protection law, KUBO is the data controller for the personal data described in this policy.

KUBO is not a law firm. Legal work referred through the platform is delivered by independent SRA-regulated member law firms and other Accredited Professional Providers, who act as separate, independent data controllers for the work they carry out for you — see “Who we share data with” below.

What data we collect

Depending on how you interact with the site, we collect:

  • Contact details — name, email, telephone, business/organisation name, submitted through the contact form or any of the onboarding forms.
  • Business details — company number, registered/trading address, turnover band, employee and director counts, and similar information submitted on the Accountancy Partner, Accredited Professional Provider and Business Membership forms.
  • Legal, HR and financial snapshot answers — the yes/no/unsure answers given on the intake forms, used to identify areas where support may be useful.
  • Personal and family information — where voluntarily provided on the Client Discovery form (date of birth, marital status, dependants, financial position and similar), used only for the purpose described on that form.
  • Signature evidence — your typed name, drawn signature image, the IP address and browser information your device sent at the time, and a timestamp, kept as evidence that a document was signed and by whom.
  • Analytics data — collected via cookies, but only once you accept them. See our Cookie Policy for details.

Our lawful basis for processing

  • Performance of a contract — to set up and administer a KUBO Membership, Accountancy Partner relationship, or Accredited Professional Provider relationship you've applied for.
  • Legitimate interests — to respond to enquiries, operate and improve the site, keep records of who signed what, and identify suitable Approved Professional Providers for a Member's needs.
  • Consent — for optional personal information on the Client Discovery form, for sharing your information with a named Professional Provider, and for analytics cookies. You can withdraw consent at any time; this doesn't affect processing already carried out.
  • Legal obligation — to keep accounting, tax and dispute-evidence records for as long as the law requires.

Who we share data with

We share information with an Accredited Professional Provider (including independent SRA-regulated member law firms) only where you have specifically consented to that sharing, and we always identify the specific firm or provider before any information is shared with them.

We also use a small number of service providers who process data on our behalf strictly as instructed by us (data processors), including our cloud hosting provider (AWS Amplify), our email delivery provider (AWS SES), and our database provider. These processors may store or process data outside the UK; where they do, we rely on their standard contractual safeguards for that transfer.

We never sell personal data, and we don't share it for third-party marketing.

How long we keep it

We retain personal data for as long as necessary to provide the service, and for up to 6 years after the relationship with you ends, to meet our legal, accounting and dispute-evidence obligations. Signing certificates (evidence of who signed an agreement, and when) are kept for the same period as the agreement they relate to.

Your rights

Under UK GDPR, you have the right to:

  • ask for a copy of the personal data we hold about you (access);
  • ask us to correct inaccurate data (rectification);
  • ask us to delete your data, where applicable (erasure);
  • ask us to restrict or object to certain processing;
  • ask for your data in a portable format (portability); and
  • withdraw consent at any time, where we rely on consent.

To exercise any of these rights, email hello@kubo.partners. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk if you believe we haven't handled your data properly.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. If we make a material change, we'll take reasonable steps to make that clear on the site.
